Production Administrator

ESSENTIAL DUTIES AND JOB RESPONSIBILITIES 

  • Review packing lists for import drop shipment purchase orders and approve shipment hand off to freight forwarder.
  • Coordinate US bulk shipments and drop shipments to freight forwarder to ensure delivery dates are met.
  • Follow up on bulk production deliveries to the distribution center freight forwarder.
  • Partner with the warehouse receiving team and quality control team to audit received styles at the distribution center.
  • Prioritize styles to be audited with the production and quality control teams.
  • Create and maintain a quality control audit chart of inbound shipments to the warehouse.
  • Publish drop ship packing lists to the receiving, customer service, and operations teams.
  • Review and prepare production invoices to be submitted for payment processing. 
  • Upload tech packs to the shared folder for third party inspection.
  • Document quality defects and prepare debit memo information as necessary.
  • Issue debit memos to vendors for damages and/or raw materials provided to vendors.
  • Prepare and maintain duty and freight log for cost analysis.
  • Partner with finance to set-up new vendors in Full Circle.
  • Communicate quality defects and publish garment defect pictures to vendors.
  • Coordinate with vendors to complete veterinary certificates for applicable garments.
  • Ship raw materials and samples to overseas vendors.
  • Other general office duties as needed.

PRINCIPAL SKILLS, KNOWLEDGE, AND PERSONAL ATTRIBUTES REQUIRED

Education:

  • High School Diploma or equivalent required; Associates or Bachelors’ degree in Apparel Production or closely related field or an equivalent combination of education and experience, desired.                                                  

Special Skills:  

  • Computer skills (MS Office, Excel)
  • Foreign language skills a plus
  • Full Circle
