Accounts Payable Specialist

ESSENTIAL DUTIES AND JOB RESPONSIBILITIES

  • Maintain and update database of vendors.
  • Verify and retrieve approval of invoices.
  • Audit and verify business expense reports for reimbursement.
  • Gather corresponding invoicing for all payments via check sent out by USPS or other delivery service.
  • Maintain the overall administration and vendor file system of the department.
  • Process the administration of 300+ invoices weekly.
  • Review, scan and upload invoices.
  • Assists with the monitoring of the AP email box.
  • Proactively contact vendors for statements, invoices, and settling open credits.
  • Confirm presence of relevant documentation - invoice, Purchase Request, Proof of Deliveries and etc. prior to payment (3-way matching).
  • Perform in-time check runs, ACH, and credit card payments.
  • Assist with month-end procedures by making relevant GL postings & accruals.
  • General handling all aspects of AP cycles.
  • Ad-hoc tasks and special projects, as needed.
  • Perform other duties, as assigned.

REQUIRED SKILLS, COMPETENCIES, KNOWLEDGE AND EXPERIENCE

EDUCATION

  • Bachelors’ degree in Business, Accounting, or Finance

WORK EXPERIENCE

  • Minimum 3 years of hand on experience in Accounting (preferably in the Apparel Industry) or accounting related activities.
  • Accounts Payable (A/P) experience required

SPECIAL SKILLS

  • MS Office (Outlook, Excel, and Word)
  • Intermediate to Advanced MS Excel with high level proficiency of Pivot table and VLOOKUP
  • Accounting system/program
  • Ability and experience handling confidential information in a discreet and professional manner
  • Highly level of accuracy and detail orientation
  • Flexible and positive attitude that supports teamwork within the department and the company
  • Dedication and requisite skills to meet critical business deadlines.
